Preparing to see a Notary – what you need to do
Your appointment checklist
Step 1: Speed
Our terms of business (including complaints procedure and data protection policy) apply to appointments Company Notary has with you. They are deemed accepted when you confirm you wish us to provide notarial or legalisation support services.
A copy of our terms is available on this website or in hard copy on request. Our email footers also include the link to the terms of business.
Different countries have different legalisation requirements (which can also vary depending on the documentation). This impacts logistics, timescales and cost. Please contact us as early as possible to check requirements.
Step 2: Translations
An English translation will need to accompany any foreign version document. In some instances, we are prepared to qualify our notarial certification if the signatory is a fluent speaker of language the document is written in.
Step 3: Documentation
Please provide in advance (email is fine) wherever possible:
- A copy of the documentation to be notarised plus any instructions from the person who prepared it.
- Full name, position and address of the person signing, and a scan of their ID (see Step 4).
- Notarial Certificates can then be prepared in advance of the meeting, saving time.
Step 4: Signing – ID
Signatories will need to show the Notary (and provide copies) of:
- Valid Photo ID (passport or driving licence).
- A recent utility or council tax bill or bank account statement (less than 3 months’ old) showing residential address.
- If signing with a different name, evidence (such as marriage certificate).
- If signing under a Power of Attorney, the original or certified copy of that too.
Step 5: Company information
If being signed for a Company or organisation, the Notary will need (in advance if possible by email is fine):
- Name of company, registered address and registration number to run a company search.
- Proof of your authority to sign for the Company or organisation
- If possible, signed copy of the minute authorising the documentation to be signed.
We may ask to see company documents at our appointment with you, including:
- Recent confirmation of the existence of the Company.
- The signing authority of the signatory.
- Articles and Memorandum of Association or other Foundation/Constitutional document
- Certificate of Incorporation.
